RTG Rail provides engineering staff to undertake jobs on the Network Rail network for a variety of clients. RTG were using Excel spreadsheets to control their jobs, but with over 150 operatives and a growing business this was becoming very cumbersome to operate. RTG needed a system that would allow the input and recording of RTG jobs along with the sending of SMS messages to address the limitations of the existing process.
Objective built RTG a job management system to manage engineering works and the allocation of staff to jobs. The system works in three stages. Firstly, initial details about a job are sent to RTG and inputted into the system. Secondly, the role requirements are given to RTG and inputted into the system. These first two stages can be combined or separate. Thirdly, staff are allocated to the roles and SMS messages are sent automatically with details of the job, such as start date and time.
There are three levels of access to the system, Staff, Planners, and Administrators. Staff have a read only role and cannot change or see anything other than their jobs. Planners can add, edit and delete jobs as well as send SMS messages. Administrators can do everything a Planner can do plus access the Maintenance area, where the core system settings can be changed, including users.
- Ensuring compliance & removing manual checking – RTG’s new system performs working hour checks every time an operative is allocated to a job. This ensures RTG are compliant and removes the process of manually checking.
- SMS message sending & log to save manual message sending – The system allows for message creation, sending and checking it has been delivered. RTG can send out details of a job, such as site name and start and finish times. This stops RTG having to manually contact every operative for each job. RTG also have the ability to look back on all the messages they have sent.
- Planner view for a clear view of upcoming jobs – The system has a calendar view of jobs, with colour coding to represent a jobs status RTG can have a user friendly view at the jobs they need to complete.
- Staff roster & timesheet report generation – The Staff Roster report allows RTG to report on where staff are for a given week. The report can be printed or exported to Excel/Word/PDF. Timesheet Reports are used to produce timesheet data for a client for subsequent invoicing. Saving RTG time having to do this manually.
